Separation

One database, and a wall between every customer in it.

Every workspace’s rows carry its own identifier, and the database itself enforces that a request from one workspace can only ever read or write that workspace’s rows. The rule lives in the database, not only in the application code, so a mistake in ours cannot show one charity another’s donations. The consumer product and the charity side share the engine and nothing else.

People

One login per person, three roles, disabled in one click.

Branch

A shop manager. Prices at the bench, sees their own shop’s history, can cover another shop.

HQ

Sets policy, runs the queue, lists on eBay, reads the analytics and the pack.

Admin

Everything HQ can do, plus people, shops, billing and the look of the workspace.

People are invited by email and sign in through Clerk with email, Google or Apple. When someone leaves, an admin disables the account and it stops working immediately. Every decision and every action is recorded against the person and the shop.

Photos and records

Photos go as soon as the price is given.

A donation’s photos exist to get a price. By default they are deleted immediately after it; an admin can set a number of days to keep them for pieces going to HQ. The price, the shop, the category and the decision are kept, because they are what the pack is made of. Your monthly statements and invoices are kept for as long as the law requires.

At signup, your charity number is checked against the Charity Commission register, and a workspace that cannot be verified is flagged for us to look at by hand.

Seven suppliers, each for one job.

VercelHosting. The application runs in London.
NeonThe database. Hosted on AWS in London (eu-west-2).
ClerkSign-in and invitations. Email, Google or Apple; nobody’s password is stored by us.
AnthropicThe AI that reads the photos and writes the eBay listing. Photos are sent for the price and not used to train models.
StripeInvoices and payment by bank transfer. We never see your bank details.
ResendEmail: invitations, the monthly pack, the invoice cover note.
eBayOnly if HQ connects the charity’s eBay account, and only for listing, ending and reading sales on that account.
